We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"It has helped us a lot, especially during the initial phase of a project where most of the things are done on paper.""The workflow engine of K2 is its main strength. Its workflow engine is probably one of the best, and that's the reason why Nintex bought K2. It can clearly handle any complex process or scenario. K2 is almost low-code. It is a no-code or low-code solution. You don't have to read a whole lot of code. It is pretty much GUI based. Their support is also excellent. The biggest advantage of K2 is SmartObjects, which allow you to separate the data from the application. It is a standalone application that allows you to build a data source from different places, which a lot of other applications also do. It is called SmartObjects technology, which is pretty powerful. If I have data from different applications, such as JD and ServiceNow, I can just create a SmartObject based on a data source and use it. I have some forms that have six, seven, or eight applications in a single form with data from different places.""The solution offers very good integration capabilities. We've never had issues integrating it without solutions.""Allows to use workflow for simple approvals and LazyApproval. The feature is easy to implement for mobile approval.""I think that it adds value to any organization, mainly in terms of business applications where you need workflows.""It provides data accuracy with fewer failures.""It has integration with BI and Analytics tools, and RPA toolsets as well.""Easily maintained and customization is quite simple."

Cons
"Difficult to include external partners with the solution deployed on-premise.""The management server and the admin page where you can manage processes need improvement.""I think it was lacking a little bit in its multiple in-house processes and other processes. So there is a little bit of a gap in collaboration.""The interface could be better and more language support is needed in the development environment or in the solutions platform in general.""The product’s support for the mobile platform and its ability to handle artificial loads could be better.""Currently, copying workflow actions from one workflow to another is not possible. Also, the Office 365 solution is not as mature as on-premise.""The solution does not integrate with many platforms.""K2's support for DevOp team corporations is weak."

"There are shortcomings in the solution's support and documentation part.""The user interface could be better in OpenText MBPM."

Pricing and Cost Advice
  • "Nintex products are expensive, but valuable. Licensing in on-premise was historically based on a perpetual model, where you’d license per Web front-end. However, they are switching exclusively to a consumption (subscription) model, where you purchase the number of workflows you think you’ll use in your environment, and can scale up from there."
  • "Offering a licensing model that allows for multiple small workflows would be a huge improvement to an already great platform."
  • "Our maintenance costs are reduced."
  • "The annual support costs are expensive."
  • "Comparatively, it's expensive."
  • "We pay on a yearly basis. It's my understanding that we pay approximately $11,000/year."
  • "The initial investment in K2 is heavy. Currently, the expenditure is $28,000 for a year. After we go to the cloud, it is going to be per seat and probably cheaper. Currently, there are unlimited users."
  • "There is an initial fee when purchasing and a fee for maintenance afterward."

  • "There is an annual license to use OpenText MBPM."
  • "On a scale of one to ten, where one is cost-efficient, and ten is expensive, I rate the pricing somewhere between nine and ten since it is a costly solution."
